Short answer
An AI sales follow-up system writes follow-ups to your leads, sends them on a schedule, and stops when the lead replies. For a small team working warm leads, quotes and proposals one at a time, autoremind.ai is the lightest option: you describe the deal in one sentence and it sends the follow-ups from your Gmail. For cold outreach to large prospect lists, Saleshandy or Lemlist fit better. Outreach is built for larger sales organisations and sells by quote.

Two kinds of AI sales follow-up system
Almost every tool in this space falls into one of two shapes, and picking the wrong shape is the usual mistake.
Outbound platforms (Outreach, Apollo, Lemlist, Saleshandy) are built around a list. You load or find prospects, build a multi-step sequence, and the platform sends it to hundreds or thousands of people, with AI helping to write and personalise the steps.
One-to-one follow-up tools (autoremind.ai) are built around a single conversation. You already spoke to the lead, sent the proposal or the quote, and now need to chase that one person until they answer, in the same email thread.
A five-person agency or a builder with twenty open quotes is in the second group, even though "sales" is in the job title.
Outreach
Best for: sales organisations with a CRM, an admin and a budget negotiated by quote.
As of 2026-10-01, Outreach (now at outreach.ai) does not publish prices. Its pricing page says to "reach out to our team for custom pricing", describes "per user pricing" combined with "consumption-based pricing powered by AI credits", and points to a demo request rather than a free trial. It has AI Assist for emails, calls, meetings and deals, a Personalization Agent, and several other AI agents.
It is a serious platform. For a freelancer or a three-person team, a sales process just to buy the software is usually the deciding factor against it.
Apollo.io
Best for: finding prospects and running sequences to them.
Apollo pairs a large B2B contact database with sequencing. As of 2026-10-01 its free plan includes email campaigns and the sequencing platform, with Gmail as the only mailbox you can connect; paid plans (Basic, Professional, Custom) support other providers. We could not read exact prices from the pricing page on that date, so check apollo.io before you buy.
If your bottleneck is finding people to contact, Apollo is strong. If you already have the lead and just need to chase them, most of what you pay for goes unused.
Lemlist
Best for: multichannel cold outreach.
As of 2026-10-01 Lemlist's Email plan is $55/month ($44 billed annually) and Multichannel is $87/month ($70 annually), with a 14-day free trial and no card. All plans include its lemAgent and AI agents and AI-generated replies; Multichannel adds LinkedIn automation, SMS, WhatsApp and calling.
It is built for reaching new people at volume across channels. That is overkill if you are following up on proposals you already sent.
Saleshandy
Best for: cold email at volume, on a budget.
As of 2026-10-01 Saleshandy starts at $34/month billed annually ($41 monthly), with Pro at $76 ($99) and Scale at $149 ($189), and a 7-day trial. It has an "AI-powered Sequence Generator" and "AI Variants" that write multiple versions of each email. Sequences stop for a prospect once they reply, using a setting that is on by default.
Good value for outbound campaigns. The wrong shape for chasing one client about one proposal.
autoremind.ai
Best for: small teams, freelancers and trades chasing warm leads, proposals and quotes one at a time.
Disclosure: this is our product.
You describe the follow-up in one sentence ("chase Priya about the website proposal I sent Tuesday"). autoremind.ai writes the follow-ups, sends them from your own Gmail in the original thread, and makes each one firmer than the last: professional, then firm, then urgent. When Priya replies, it stops. Each follow-up carries a tracked address in the reply path, which is how it notices the reply without reading your inbox.
Where it falls short, honestly:
- Gmail only for now. No Outlook yet, no Microsoft Teams
- At most 4 messages per reminder
- No prospect database, no mail merge, no CRM sync. It is not an outbound platform
- A small, new product
Pricing: free for 3 live reminders with no card. Starter is $4/month for 10 live reminders.
Quote follow-up for trades and construction
There is a page for this specific job, with the three messages written out: quote follow-up for trades.
Most of the tools above were built for software sales teams emailing long prospect lists. A contractor, builder or trades business has a different problem. The leads are already warm. Someone asked for a quote, you went out and measured, you sent a number, and then nothing happened.
That silence rarely means no. The homeowner is comparing three quotes, waiting on a partner to agree, or just busy. The job often goes to whoever is still in touch when they decide.
What works is short and specific:
- A first check in two or three days after the quote, offering to answer questions about scope or materials
- A second message a week later that gives them a reason to decide, such as when you can next fit the job in
- A final message that closes the loop politely, so they know the quote stands if they come back
You do not need a CRM, a dialer or a prospect database for that. You need each quote followed up on time, in a tone that fits someone who asked you for a price, and stopped once they reply.
With autoremind.ai you describe the job once ("follow up with the Hendersons on the kitchen extension quote I sent Monday") and it writes the messages, sends them from your Gmail in the same thread as the quote, and stops when they answer. The same approach works for chasing deposits and final payments once the job is done, which the payment reminder timeline covers.

FAQs
What is an AI sales follow-up system? An AI sales follow-up system writes follow-up messages to leads, sends them on a schedule, and stops when the lead replies. Outbound platforms such as Outreach, Apollo, Lemlist and Saleshandy do this for prospect lists. autoremind.ai does it one deal or one quote at a time, from your own Gmail.
What is the best AI sales follow-up system for a small team? If you work a few dozen warm leads, quotes or proposals at a time, autoremind.ai is the lightest option: one sentence per deal, follow-ups sent from your Gmail in the original thread, stops on reply, $4 a month for 10 live reminders. If you prospect cold lists in the thousands, Saleshandy or Lemlist fit better.
Is Outreach worth it for small teams or freelancers? Usually not. As of 2026-10-01 Outreach does not publish prices: its pricing page asks you to request a custom quote, combining per-user pricing with AI credits, and there is no self-serve trial listed. It is built for sales organisations with a CRM and an admin.
Can AI write sales follow-up emails without templates? Yes. autoremind.ai writes each follow-up from a one-sentence description of the deal. Saleshandy has an AI sequence generator, Lemlist has AI agents and AI-generated replies, and Outreach has AI Assist for emails. The difference is the shape: those are built for sequences sent to many prospects, autoremind.ai for one conversation at a time.
Is there an AI follow-up system for construction companies and trades? Yes. Contractors and trades businesses mostly need quote follow-ups, not cold outreach, so a lightweight tool fits better than a sales platform. autoremind.ai writes the follow-ups for each quote, sends them from your Gmail in the same thread as the quote, and stops when the customer replies. No CRM required.
Do these AI sales follow-up tools work with Slack? autoremind.ai can chase people inside your own team in Slack as well as email. Lemlist Multichannel adds LinkedIn, SMS, WhatsApp and calls rather than Slack. The others are mainly email.
